Booking Information

There are 6 rooms available for hire at the Mt Eden Village Centre. Detailed information about each room is here:

Church, Hall, Lounge, Meeting room, Foyer and Kitchen

If you would like to make an enquiry or booking please Contact Us or fill out the Booking form. We will get back to you as soon as possible. Please read the additional information below which will assist you with your booking.  Once your booking is confirmed, we will issue an invoice with 50% of the Bond for payment within 10 days. Another invoice with the remainder of the Bond, Key Deposit and hire fee is due 10 days before your booking date.

 

Additional Information for Hirers

Bond and Key Deposit

Once we confirm your details we require payment of 50% of the Bond to secure your booking. The remaining 50% of the Bond and your hire fee is due 10 days before your booking. Bonds are:

Church     $500.00

Kitchen    $200.00

Hall            $500.00 (events with alcohol)

                   $200.00 (events without alcohol)

Lounge     $200.00

Projector  $200.00

We also charge a $50.00 Key Deposit when a Key for access is issued.  All Bonds and Deposits are refunded, less any deductions for damages etc, after your booking.

Alcohol Policy

The alcohol policy here at the centre is that you are able to consume alcohol on the premises if you are supplying it for your guests BUT if alcohol is sold then a Special Licence must be obtained from Auckland Council and displayed at the event.

Key and Alarm Codes

We will contact you during the week before your hire date to to arrange a time to collect the Key and your individual alarm code prior to your hire date. These must be collected during office hours (Mo-Fr 9am – 12 midday) unless other arrangements have been made.

The key has to be returned to the managers office during office hours within 2 days after the booking. If the key is not returned within 7 days, a fee of $20 will be deducted from the Bond. If the key is lost, the $50 Key Deposit is forfeited.

Cancellation Fee

The Trust reserves the right to charge 50% of the total hire fee for a change within a two week period of the booking, 25% for a change between 2 and 4 weeks, and 10% for a change more than 4 weeks from the booking. Bookings cancelled within 24 hours of the booking date will be charged in full. All cancellations must be sent via email to ensure we have a written record.

Checklist for Leaving

This information can be downloaded as a PDF file.

Remove rubbish and leave the venue clean, including the toilets.
Turn off all lights, including outside lights.
Check that all heaters are turned off.

Kitchen

  • Take all your food out of the fridge.
  • Turn off the steriliser on the wall.
  • Turn off the hot water boiler on the wall.
  • Put items back in the cupboard as listed on the kitchen content list displayed in the kitchen.
  • Check that the oven is turned off and clean.

Church

  • Put the chairs back in the same position and leave the place as you found it.
  • Make sure the gas heaters are turned off if you have used them.

Hall

  • Make sure the gas heaters are turned off if you have used them.
  • Check the door to Ngauruhoe St is locked from inside. Give it a push to double check.

Lounge

  • Take all your food out of the fridge.
    Check the door to Ngauruhoe St is locked from inside.
  • Turn heaters off.

Hirers are responsible for cleaning the venue before they leave – cleaning equipment and a vacuum cleaner are provided in the Cleaning Cupboard in the Main Kitchen.

Equipment Available

A Projector and Stereo/Mic unit can be hired from the office. A Bond payment of $200.00 is required.

Equipment items must be returned on the same or the next working day in proper condition. Failure to do this may result in the bond being forfeited.

For late returns $10.00 will be deducted from the deposit, for every day late unless otherwise arranged prior to hiring.

Health and Safety

It is our aim to make sure that the Mt Eden Village Centre is as safe a place as possible, to minimise the risk of accidents. We have a commitment to observe all health and safety requirements as specified by relevant authorities.

Any potential hazard should be pointed out to the Centre Managers so that remedial action can be initiated as soon as possible. If this happens outside normal business hours it is to be recorded on an “incident form”, located in the Kitchen.

In the event of an accident, the Centre Managers will investigate to see if there are any actions which can be taken to prevent a repetition of the incident. 

A First Aid kit is provided and is located in the Kitchen. However, it is recommended that professional aid should be sought in the event of any injury. A defillbrator is located in the Kitchen but must be used by a person trained in its’ use.

In the event of an accident occurring during office hours, the Centre Manager should be notified immediately.

In the event of an accident outside office hours the Centre Manager will need details from those involved so that a report can be made to the Trust. An “incident form” is located in the Kitchen. The Centre Manager will keep an accurate record of all incidents and report regularly to the Trustees.

Waste Minimisation

We are a zero waste facility so we ask that you take all your rubbish with you. We are also committed to zero waste going to landfill so we ask you consider Reducing your use of single use items, Reuse as much equipment as you can and actively Recycle waste such as glass, metal, paper and plastic.

Talk to us about hiring the Kitchen as well when you plan your event in the Hall. The combined hire rate has been vastly reduced to support our Waste Minimisation Policy

Mobility Access and Toilets

There are two Mobility car parks outside the main entrance of the Village Centre on Ngauruhoe Street.  The Ramp to the main entrance is next to the car parks.

There are two easy access Toilets, one in the Foyer and one by the north external doors of the Hall.

Parking - Where can I park?

Parking on Ngauruhoe Street is limited to 60 minutes right outside the Centre or 120 minutes in a public carpark 100m away on Essex Street.  These parks are generally in high demand.  There is also a clearway on Mt Eden Road at 4.00-7.00pm.

However most streets coming off Mt Eden Road (including Ngauruhoe Street) have free all day parking further down each street within a short walk of the Centre.

We encourage using public or active transport when visiting the Village Centre. We have 2 bike parks by the main entrance. 

Setting up the room the night before

If we have no bookings you may set up your room the night before. You can have access from 7pm – 12 midnight with a charge for 3 hours use.

Cleaning

We ask you to leave your room and shared spaces as you found them. It is the hirer’s responsibility to clean up after their booking within the time of your booking.

Noise

As the Village Centre is in a residential area, noise from amplifiers and loudspeakers must be kept to a moderate level at all times. We ask that hirers turn systems to low by 11.00pm to facilitate packing up and cleaning by midnight. Failure to comply with this condition may result in the early closure of your function or confiscation of equipment.

Candle light and smoke machines

No open fires, smoke machines, naked flames (this includes candles and kerosene lamps), BBQs or spits are to be used inside The Mt Eden Village Centre. If the fire alarm is set off by the use of these items then a charge will be incurred.

Sound System - Do I have to bring my own sound system?

For bookings in the Church you can use our sound system including microphones. This is already set up and you are not able to change the settings. You may bring your own system if you prefer.
